PINE HILL CONGREGATIONAL CHURCH

 

FACILITY GUIDELINES
 
 

The Church facilities are reserved, primarily, for the use of our Church members in religious services and other Church related activities.  It is recognized, however, that our members and friends may wish to sponsor the use of the church building for activities not directly associated with the programming of our congregation.  The Minister, the Board of Trustees, or their designated representative must approve all such activities.

 

  Applying for facility usage:

 

     1.  Upon your initial inquiry for an upcoming program, your date will be 'penciled in' and held for two weeks (as always, all programs will be scheduled on a first-come first-serve basis).

     2.  You will be sent a "Pine Hill Congregational Church Facility Usage Request" that will be the formal agreement between you and Pine Hill.  The return of this signed form, accompanied by the deposit equal to half of the total rental price, will finalize your reservation with Pine Hill.

     3.  A copy of this form, signed by a Church representative, including an indication of the monies paid, will be returned to you for your own records.

 

The following guidelines shall be followed if granted such approval:

 

     1.  The program of the organization requesting use of the facilities shall be of a religious, cultural, educational, or service-oriented nature.

          a.  Programs of a religious nature must be consistent with the beliefs and faith of our congregation and must be further approved by the Pine Hill Board of  Deacons.


          b.  The building is not intended to be used for a profit-making venture by any group outside of our congregation.

     2.  The use of the building and parking lot may or may not conflict with any Church activity.

     3.  There is to be no smoking in the church building and no use of alcoholic beverages on the church property.

     4.  All persons renting our facilities are expected to vacate the building at the time listed on the Usage Request Form.  For evening activities, the church building must be vacated and returned to its normal condition by 11:00 p.m.

     5.  On the day of the recital, a representative of Pine Hill Congregational Church will be present to open the building at the time that you list as your entry to the church on your facility usage request and help you find all you need.  This representative is a volunteer, and will stay only 20 minutes past your listed entry time unless other arrangements are made.  If you do not arrive within that 20 minute time window, there will be no one present to open the facility upon your arrival.

     6.  A representative of the Church will be present to unlock the doors and familiarize the renters with the layout and lock-down procedures of the church building.  The renter will be responsible for locking the facilities and returning the building to the form in which it was originally found.

 

     7.  In using Pine Hill Congregational Church, please keep in mind that we do not have a janitor.  Our cleaning service is generally here on Saturdays.  Therefore, all renters are asked to do their own clean-up, turning off all lights when they leave.  The party using the building shall be responsible for putting up and removing tables and chairs if necessary.  Parties using the sanctuary for programs such as recitals may move the piano and pulpit only with the permission of a church representative, and are expected to return the items to their original placement upon completion of the activities.  Persons using the fellowship hall are responsible for emptying trash, wiping off tables used, cleaning the kitchen counter, and vacuuming the floor.  Persons using the sanctuary are responsible for removing papers from pews and tables and vacuuming if necessary.  All parties should check the rest rooms to be certain that they are left as they were found.  If something should be broken, please leave a note so we can correct it promptly.  See note below if food is served.

     8.  Persons using the fellowship hall kitchen area are expected to supply their own food, including tea and coffee, utensils and supplies, as well as dishes and silverware.  Coffee, teapots, and refirgerator are available for use upon request.

     9.  Unless otherwise determined before the event, the church office, minister's study, and basement area are off limits and are not considered to be part of the facility for outside use.

     10.  It should always be remembered that people are more important than rules.  Thus, the Minister and the Board of Trustees shall have the discretion to waive or reduce fees if he/she/they believe the organization or group merits such waiver or reduction.

     11.  The fee schedule as established by the Board of Trustees and effective October 1, 2014:

          a.  Recitals:  $125.00 (Assumes a four hour building usage.  Programs lasting longer than four hours are to be charged an additional $25 per hour).

          b.  Recitals with Food:  $175.00 - Food MUST be kept in the Fellowship Hall and the renter is responsible for cleaning the carpet if any stains do not vacuum up after use.

          c.  Fellowship Hall Meetings:  $50.00 (Assumes a three hour building usage.  Programs longer than three hours are to be charged an additional $25 per hour).

          d.  Weddings:  A separate fee schedule is available in our Wedding Guidelines.
